Agenda

1. All – Assessment of virtual membership meeting on January 8 and speaker Wei Cai of the Seattle Public Library (5 mins)

• We enjoyed the speaker. We were sorry to learn that she is retiring as she is a very dedicated librarian

2. All – 2022 Board – Are job descriptions / work instructions complete for non-trustee positions?  The new board positions will officially begin with the February Monthly Membership Meeting on February 9 (5 mins)

• Everyone should be encouraged current bi-laws currently on rainierbeachcovmmunityclub.org  website
• Kathie will send RCW guide lines  protecting board members duties and legal responsibilities. 
• we are required to sign a document that we do not have a conflict of interest
• Danielle will be sending emails for meetings reminders beginning 2/1
• Kathie asked if all board member would send their current email and phone numbers to Danielle 

3. All – Committee chairs (10 mins)

• committee chair need to be active members or trustees 
• membership committee important in rebuilding membership and attendance at meetings
• Alan will continue to chair technology committee for an additional year
• membership chairs will reviewed at next board meeting
• Brett volunteered to support tech committee and be responsible for running zoom meetings

4. All – Expectations for committees (10 mins)
5. Committee chairs should be discussed at next board meeting with Prez nominating slate in March Member Meeting

5. Kathie – Brainstorm 2022 planning: civic, community, social activities. What, when, lead person. (30 min)

• food truck event
• game night
• ping pong night
• community garage sale (swap meet)
• bridge to  beach (grant?)
• garden tour
• harvest social
• arts and crafts market
• outdoor wine tasting
• continued participation in community events such as back pack distribution, HUB, CHAMPS,  and boo bash
• self defense course
• seed swap and/or plant swap
• pet costume event
• themed movie night for fund raiser

6. Keegan – Survey Status  (5 min)

• survey designed to get feedback what type of events members would like to participate in
• Keegan updated survey to reflect feedback from previous version
• Keegan will send survey to Anne and Danielle before meeting and there will be a reminder in the meeting announcements

7. Gerd – Financial status Gerd (5 min)

• We have another contract for a dance class 
• Gerd posted detailed info 
• Gerd received 2 additional rental requests
• Taxes are filed without an accountant

8. Kathie – Board obligations (5 min)

9. All – Other community groups RBCC participate in eg HUB, Emerson PTA, Kubota Garden (5 min)

10. Anne – Board approval of letter from RBCC to oppose building a service road through that park.  See attached. (5 mins)

• letter was reviewed with membership
• SPU is seriously reconsidering creating road due to community pressure
• Friends of Dead Horse Canyon will be part of planning for future of canyon

11. Danielle – Garden Tour 2022  (5 mins)

• garden tour date hasn’t been determined but will occur this spring
• committee on board to repeat last years effort

12. Alan – Google Drive Updates (5 mins)

1. Added Harvest Social planning doc under Social Chair in Google Drive
2. Added Nominating Committee doc under Board and Committee chair in Google Drive
3. Added Tom’s RBCC website menu writeup to Technology Chair in Google Drive
4. Perhaps the new Corresponding Chair (Danielle) can update Mailchimp doc with updated screenshots?

13. Alan – Brendan Works Waters planting project update (5 mins)

• Brendan had someone from city that he does not need permit to plant flowers or shrubs. We can help be a fiscal sponsor and support if we get grant by purchasing shrubs and soil.
• Alan will forward email to Kathie to review info from Brendan

14. Alan – Treasurer stuff completed prior to official handoff (5 mins)

• all done

15. Alan – Perhaps next board meeting depending but possible Zoom hosts for 2022 besides Alan – Help start meetings and handle letting people in, watch chat (5 mins)

• Brett volunteered to assist.

Future speakers:

17. February (confirmed) – Afua Kouyate, Founder and Executive Director, ADEFUA Cultural Education Workshop, a non-profit organization that is central to youth and families within and surrounding Seattle communities. It provides year-round various interactive activities that engage serves and have available West African experiences, both academically and socially to all generations.

1. New RV Food Bank location (Danielle) Brett will ask his wife for suggestions about who to reach out to as no one responded to Danielle
2. Legislative Assistant for Teresa Mosqueda to talk on zoning policies and impact on RB (Anne)

3. Huzzah to Alan for his work in the Arts and Crafts event!

We received $395 in donations from artists as per request

4. Letter from RBCC (with text provided by Friends of Deadhorse Canyon) to oppose building a service road through that park.  PDF of said letter is attached.

• Anne will edit letter and submit to board for review

5. Reminder that “work instructions” for Treasurer, Secretaries and other Board roles need to be finalized and loaded to Google Drive by end of January.

• reviewed responsibility of each position to be included in google drive folder
• Gerd will show Alan how to access grant info for future use and include in google drive
• Alan will check with Ruth or Luz to confirm if list for harvest social exists.
• Keegan will add art work for all posters he’s made and will add them to drive folder

Future speakers:

1. Confirmed January – Wei Cai, Regional Manager of the Seattle Public Library, will update members on recent changes in the library system including tutoring, the new metal boxes, copying policies and the cancelation of the book sale (and whether it has impacted revenue).

2. Future ideas:

1. Erin – LA for Teresa Mosqueda to talk on zoning policies and impact on RB (Anne).  This should be for 2Q22.

Brett is willing to volunteer to be at table

Anne and Kathie offered to help as well

As a board we can approve $500 donation

sponsorship is $250 for 1 table and our logo on printed materials

Gerd will go to Costco to get candy for distribution

Brett will store candy at his home and transport it to the  event

Keegan moved to donate $250- $300 in kind donation of candy

Info indicates that all candy distribution must be contactless

Keegan will email Danielle at Urban Impact to clarify contactless distribution of candy as well as how much we need to donate in kind 

Alan will reach out to Natalya to ask how we got RBCC stickers for play dough but not something we need to 

Dorothy will print fliers with RBCC meeting info to have at the table
